RM Federated Search

Significant business risk and inefficiency can occur when an organization does not know what information is contained within repositories or have control over this information. It has become essential for organizations to consistently implement information policies for finding, holding and disposing of information and data.

HPE ControlPoint can help you gain insight and understanding of all content contained within your organisation, and RM Workspace Federated Search extends this value by allowing defined users to find specific needles in the information haystack to control, manage them, and collaborate on the found information.

RM Federated Search is a module of RM Workspace that links to HPE ControlPoint to provide a federated search capability across multiple repositories, including multiple HPE CM\TRIM datasets, Exchange, network drives and SharePoint. You can search and discover information across these multiple repositories, and then edit and collaborate on this information using RM Workspace functionality.

HPE ControlPoint uses the Enterprise IDOL Engine to index the data in its nominated repositories. The Enterprise IDOL Engine can then be leveraged to perform federated searching across the repositories and expose the results to users through RM Workspace. Federated search presents an organisation and its authorised users a potential single view of corporate information across all disparate repositories: significantly improving efficiencies and reducing organisational risk through more comprehensive discovery

RM Workspace Federated Search helps you to:

  • Return search results from repositories indexed by HPE ControlPoint
  • Capture found results from repositories directly into HPE RM/CM
  • Use HPE ControlPoint relevance and suggestion searches
  • Save searches from federated results
  • Share documents in groups or individually
  • Tag documents for quick and easy future access
  • Move documents to HPE RM/CM for management

HPE ControlPoint

RM Federated Search leverages HPE ControlPoint. HPE ControlPoint itself assists organisations to achieve business outcomes via analysis and management of dark and unstructured data, achieving efficiencies in search and discovery, savings in storage and discovery costs, and a significant decrease in compliance and security risk. It connects to a variety of Enterprise Information repositories (Network Drive, SharePoint, Exchange and HPE RM are available by default), and then provides the following functional benefits:

  • Gain visibility and understanding of enterprise information
  • Automate compliance, legal hold, and retention policy
  • Perform data clean-up to reduce storage costs
  • Find Private Personal Information (PPI)
  • Set policies to drive more secure management
  • Better manage content based on business value
  • Drive your future information governance strategy
  • Indexes SharePoint, Exchange, Network Drives and HPE RM/CM out-of-the-box

In Place Records Management

ControlPoint analyses, indexes and categorises organisational data stored in nominated repositories, including identifying security related information such as credit card numbers, TFNs and passwords. Once data has been analysed and categorised, it can determine data that is duplicated, redundant, obsolete or trivial in these repositories. ControlPoint then offers In Place Records Management via policies to achieve compliance. These policies monitor data and trigger actions such as: migration of data into HPE RM, controlled deletion of data, setting a record sentence on data in place, or moving data to lower cost storage. ControlPoint ensures organisational compliance policies apply to information regardless of their location, consistently managing information across the enterprise, all from a single dashboard interface.

Storage & Management savings

While storage costs are getting cheaper, the costs to manage storage are exponentially rising. To add further, lack of managing unknown or dark data can significantly expose an organisation to huge risks. HPE ControlPoint enables organisations to analyse and categorise this data and reduce significant management costs and also eliminate organisational risks. Reduction of 1 TB of dark data can potentially result in thousands of dollars of savings and un-measured savings towards protecting an organisations assets and information.
